How to Deliver Photos to Real Estate Agents Like a Pro
February 17, 2026 · Michael Meesseman
The way you deliver photos to real estate agents says everything about your business. You could shoot the most beautiful listing photos in the world, but if you send them as a Dropbox link with 47 files named IMG_4392.jpg through IMG_4439.jpg, you've undercut your professionalism in the last mile.
Delivery is the final touchpoint between your business and the agent. It's what they remember. It's what they show their colleagues when recommending you. And for most photography companies, it's an afterthought.
Let's fix that.
Why Delivery Matters More Than You Think
Real estate agents are busy people who work with a lot of vendors. They're comparing your experience against every other service provider they use. When a staging company sends beautifully organized before/after galleries and you send a Dropbox folder, the contrast is stark.
Great delivery does three things:
Reinforces your value. When an agent receives a polished, branded gallery page with their listing photos beautifully displayed, it reinforces that they made the right choice hiring you. It justifies your pricing.
Drives referrals. Agents share listings with other agents all the time. If your delivery page has your branding, contact info, and a "book another shoot" link, every share is a marketing opportunity.
Reduces support requests. When photos are organized, easy to download, and clearly labeled, agents don't need to call or text you asking "where are my photos?" or "can you resend the link?"
What Agents Actually Want
After years of working with real estate agents, here's what they consistently ask for:
Fast turnaround. They want photos within 24 hours, ideally same-day. The listing goes live when the photos are ready, and every day they wait is a day the property isn't on the market.
Easy downloads. They need web-sized photos for MLS upload and print-sized photos for flyers. They don't want to figure out which is which. Give them clearly labeled download buttons.
Mobile access. Agents live on their phones. If your delivery doesn't work perfectly on mobile, it doesn't work for them.
Shareability. They need to forward the gallery to the homeowner, the listing coordinator, the office admin, and sometimes other agents. One link that works for everyone.
MLS-ready files. Photos should be the right resolution and size for their local MLS system. If they have to resize or rename files, that's friction you've created.
The Delivery Spectrum: From Amateur to Professional
Level 1: Dropbox/Google Drive Link (Amateur)
This is where most photographers start. You create a folder, upload the photos, and send a share link.
Problems:
- No branding — looks like any other file transfer
- Agents have to navigate folder structures
- No web/print size options
- No way to track if they downloaded the photos
- No payment integration
- The link can break or expire
Level 2: Email With Attachments (Slightly Better)
Some photographers email the photos directly. This at least puts the files in the agent's inbox.
Problems:
- File size limits (most email providers cap at 25MB)
- Photos lose quality when compressed by email
- Inbox clutter — agents receive 200+ emails per day
- No gallery preview
- Can't send 30+ photos this way
Level 3: Basic Gallery Link (Good)
Using a platform or self-hosted solution to create a gallery page with download buttons.
Benefits:
- Professional presentation
- Easy downloads
- Mobile-friendly
- Shareable link
This is the minimum acceptable standard for a professional photography company in 2026.
Level 4: Branded Delivery Page (Professional)
A dedicated delivery page with your company branding, hero image, organized photo galleries, web and print download options, and possibly video and virtual tours.
Benefits:
- Everything from Level 3 plus:
- Your logo, brand colors, and company name
- Organized by media type (photos, videos, floor plans, 3D tours)
- Individual and bulk download options
- Your contact info and booking link
- Professional impression that justifies premium pricing
Level 5: Delivery + Payment Gate (Premium)
Everything from Level 4, but downloads are locked behind payment. The agent can preview all photos as thumbnails, but can't download full resolution until they pay.
Benefits:
- Everything from Level 4 plus:
- Guaranteed payment before delivery
- Integrated Stripe or credit card payment
- Automatic unlock after payment
- Invoice and receipt included
This is where the industry is heading. If you're chasing agents for payment after delivery, you're leaving money on the table and adding administrative overhead.
Setting Up Your Delivery System
What Your Delivery Page Should Include
At minimum, a professional delivery page needs:
- Property address and order number — so the agent knows exactly what this is
- Hero image — the best exterior shot, displayed prominently
- Photo gallery — all delivered photos in a clean grid
- Download buttons — "Download All (Web)" and "Download All (Print)" at minimum
- Individual downloads — option to download specific photos
- Your branding — logo, company name, contact info
- Booking link — "Book another shoot" prominently placed
Nice-to-Have Features
- Lightbox for viewing individual photos at full size
- Media type tabs (Photos, Videos, Floor Plans, 3D Tours)
- Share button for agents to forward the link
- Download tracking (so you know the agent received their photos)
- Payment integration for those who haven't paid yet
- Photo count and file sizes displayed
Delivery Notifications
When photos are ready, the agent should receive an email with:
- Subject line: "Your photos are ready — [Property Address]"
- A prominent link to the delivery page
- A thumbnail preview of the hero image
- Your contact info for questions
Don't make the agent log into anything. The delivery link should work without authentication. Token-based URLs that expire after 30-90 days are the standard approach.
Delivery Best Practices
Name Your Files Properly
Nobody wants to open a folder of IMG_4392.jpg files. Use a consistent naming convention:
SKY-20260220-001.jpg(Company prefix + date + sequence)123-Main-St_01.jpg(Address + sequence)OrderNumber_001.jpg(Order number + sequence)
Whatever convention you choose, be consistent. Agents will notice.
Provide Multiple Sizes
Agents need different file sizes for different purposes:
- Web/MLS: 2048px long edge, 72 DPI, optimized JPEG
- Print: Full resolution, 300 DPI, maximum quality JPEG
Provide both. Label them clearly. This saves the agent from having to resize files themselves or call you asking for a different size.
Deliver Fast
Turnaround expectations by market:
- Standard market: 24-48 hours
- Competitive market: Same-day or next-morning
- Luxury market: 24 hours with premium editing
If you promise 24-hour turnaround, deliver in 20. Under-promise and over-deliver is cliché because it works.
Follow Up
One day after delivery, send a brief follow-up:
"Hi [Agent Name], just making sure you received the photos for [Address] and everything looks good. Let me know if you need any adjustments!"
This shows professionalism, catches any issues early, and opens the door for rebooking.
The Payment Question
Should you require payment before delivery?
Arguments for payment-first:
- Eliminates accounts receivable
- No chasing agents for money
- Agents expect to pay for services upfront in other areas
- You delivered value; you deserve payment
Arguments for delivery-first:
- Builds trust with new clients
- Reduces friction in the ordering process
- Some agents need to see photos before approving payment
- Industry norm is still delivery-first in many markets
The middle ground: Deliver with a payment gate. The agent can see all photos as thumbnails but can't download until they pay. This gives them confidence in the quality while ensuring you get paid. Most modern delivery platforms support this.
Tools for Professional Delivery
Several platforms offer professional delivery for real estate photographers:
- Aryeo: Industry standard, polished delivery pages, Zillow integration
- Spiro: Budget-friendly, $5 per listing, clean galleries
- Skyline OS: Full pipeline including editing workflow plus delivery with payment gates
- Deliverable: Simple, focused on galleries
- Pic-Time: Originally for event photographers but works for real estate
The right tool depends on your volume, team size, and whether you need just delivery or a complete operations platform.
Making the Switch
If you're currently delivering via Dropbox or email, here's how to upgrade:
- Choose a platform that fits your volume and budget
- Set up your branding — logo, colors, company info
- Deliver your next 5 orders through the new system
- Ask agents for feedback — "How was the new delivery experience?"
- Refine based on their input
The transition doesn't need to be dramatic. Most agents will immediately appreciate the upgrade, and many will comment on it. That's the kind of impression that generates referrals.
Your photos deserve a delivery experience that matches their quality. Give your agents something they'll want to share.
